Reception/Administrative Professional

Our client is seeking an experienced Front Desk Reception/Administrative Professional to join their team in their Fort Worth, TX office. 

Qualifications:
  • Strong organizational and communication skills.
  • Proficiency with MS Office – Outlook, Word, MS Teams
  • Knowledge of Deltek Ajera a plus
  • Interest and ability to learn new tasks and softwares.

Responsibilities: 
Office Management                 
  • Front Desk Reception for guests.
  • Manage GoTo Phone System, Answer Phones and Transfer calls
  • Monitor and Order Office Supplies
  • Manage Shipping - Local, Fed-Ex, UPS, USPS
  • Manage and Order Office Beverages, stock refrigerators
  • Mail Acquisition, Sorting, and Distribution
  • Review/ Monitor Staff calendar(s) daily for Meetings / Employees Out of Office etc.,
  • Hospitality for onsite/in person meetings (food and beverages)
  • Manage Certificates of Insurance for all Projects
  • Hospitality for onsite/in person meetings (food and beverages)
  • Keep Front Area Organized and presentable to guests
  • Liaise with Building Management
  • Organize and Manage Kitchen Crews
  • Setup for Staff Meetings
  • Manage and Liaise with Third Party Recycling
                             
Administrative Responsibilities:                             
  • Prepare Proposals and Exhibits, solicit proposals from consultants
  • Keep NCARB and AIA Continuing Education Certificates and Logs
  • Organize Lunch and Learns and manage Certificates
  • Renew Annual Professional Architecture Licenses
  • Respond to Continuing Education Audits
  • Setup new projects in Tonic DM, Teams, and Ajera
  • Assist with Closing Statements and other client closing documents
  • Prepare Substantial Completion Certificates (requires access to AIA Licenses)
  • Assistance to Architects during Construction Phase Services
  • Printing and other document preparation as needed by PMs and APMs.
