JOB SUMMARY
Our client is an innovative and growing architectural design firm is searching for experienced candidates for the position of Office Manager. This is a full time opportunity with benefits working fully onsite in their Houston office, located in the Northeast side of Houston near George Bush International Airport.
KEY RESPONSIBILITIES
- Oversees the processing and distribution of internal and external mail.
- Provide general support to visitors and office staff.
- Answer and manage phone calls.
- Address employees’ queries regarding office management issues (e.g. stationery, etc.)
- Performs administrative tasks for executives and shareholders, which may include maintaining calendars and schedules, making reservations, making travel arrangements, and preparing and submitting expense reports.
- Maintains or coordinates maintenance of office equipment.
- Ensuring all invoices and payments are sent to the CFO.
- Organizing and scheduling of conferences
- Assist in coordinating in-house activities such as parties, celebrations, and conferences.
- Assist Architects with licensing renewals and transcripts.
- Ability to perform job responsibilities with or without reasonable accommodation.
- Performs other related duties as assigned.
QUALIFICATIONS
- Excellent verbal and written communication skills.
- Excellent organizational skills, attention to detail and problem-solving skills.
- Experience with File Maker Pro and Word Press a plus.
- Intermediate or Advanced Excel knowledge
- Ability to manage multiple tasks.
- Able to work independently and be flexible.
- Excellent time management skills
- Overall excellent work ethic
- Proficient with Microsoft Office Suite, or related software.
- Experience working in an Architect environment a plus.
EDUCATION AND EXPERIENCE
- Bachelor’s degree in business administration or related field preferred.
- Three to five years of experience in various office functions preferred.
